Vineland Downtown Improvement District Administrative Assistant (AA) Job Description

Part Time Position (20 – 29 hours a week)

(4) Hours a day 5 days a week unless flex time is used to cover special events or meetings.

Salary ranges from $20 to $30 per hour

Job Responsibilities:

Provide secretarial and administrative support to the Executive director, staff, and volunteers.

Manage or assist in all administrative aspects of the organization, including purchasing, record keeping, updating files, database management, and preparing all reports required by the Main Street New Jersey and the National Main Street Center.

Answer, screen and take phone messages, assist callers as much as possible.

Maintain daily priority/task list.  Apprise Executive Director of status priorities/ daily tasks.

Maintain inventory and order office supplies in accordance with the budget and as approved by the Executive Director.

Attend meetings as required, take minutes (when necessary), and distribute transcribed minutes in a timely fashion. AA should plan to attend all board of director meetings, all team meetings and subcommittee meetings as required or when requested to do so.

Assist in executing the initiatives and programs of the four teams: Design, Organization, Promotions and Economic Development, as well as the Millennial Advisory Board. Serve as Chair, if needed for any team.

Assist with fundraising and grant writing, managing and reporting for grants.

Assist in the recruitment and training of volunteers and interns.

Assist in providing information and referral services regarding any of the program content areas to individual tenants or property owners desiring assistance.  Maintains a resource clearinghouse of information regarding the four program areas for volunteer and owner use.

Assist in all Main Street Vineland activities and events, including, but not limited to: Cash Assaults, merchant meet and Greet, etc., all events such as Holiday parade, Wedding weekend, Cruise Down memory Lane, and any others that may be held. Assistance in management and preparations for all events including, but not limited to street closings, street banners, Incident Action Plans with all City departments, as well as setup and coverage at events.

Prepare and distribute, in a timely manner, Special events flyers, notices, letters, and permits.

Attend and perform designated duties during special events that may be scheduled outside regular work hours, including weekends and evenings.

  • Knowledge or ability to learn to do website updates; social media posts and updates, email management
  • Grant writing and grant management and reporting (experience with DCA’s SAGE system preferred).
  • Main Street New Jersey and/or National Main Street experience preferred.
